A help desk works best when the whole team can see and answer conversations. Owners and admins can invite teammates by email.
Before you start
- Confirm your own email address first. Invites are sent by email, so an account with an unconfirmed address cannot send them.
- Check your plan's seat limit. The Free plan includes 2 users, Starter up to 6 and Team up to 12. Pending invites count as reserved seats until they are accepted, cancelled or expired. See Plans and limits.
Send an invite
- Open your workspace and go to Team.
- Under Invite a teammate, enter their Email address.
- Pick a Role: Agent, Admin or (owners only) Owner. See Roles and permissions if you are not sure.
- Select Send invite.
Your teammate receives an email with a link. The link works once and expires after 7 days. If they already have a Kora Reply account with the same email, they join the workspace when they accept. If not, they choose a name and password on the invite page.
Manage pending invites
Pending invites are listed under Pending invites on the Team page. Select Cancel invite next to one to withdraw it, which frees the reserved seat immediately. Inviting the same email again replaces the old link with a new one.
Change a role or remove someone
In the Members list, owners and admins can change a teammate's role or remove them from the workspace. A few rules keep a workspace safe:
- Admins can manage agents and other admins, but never owners.
- Only an owner can make someone an owner.
- A workspace always keeps at least one owner, so the last owner cannot be removed or demoted. Make another member an owner first.
Anyone can leave a workspace they belong to, except the last owner.
Troubleshooting
- Seat limit reached: remove a member, cancel a pending invite, or ask us about a larger plan.
- The email did not arrive: ask your teammate to check spam, then cancel the invite and send it again.
- The invite was sent to a different email: the person must accept while signed in with the invited address.
